Fixed Monthly Plan
You receive a reserved weekly lesson time
This time remains the same each week and is automatically renewed each month
You must pay by 6:00 PM on the final working weekday of the month to keep your place
If payment is not received, your spot will be removed and may be offered to another family
After the month begins, there are no refunds, cancellations, or changes
Reschedules are only possible for Private and Semi-Private lessons if you notify us at least 48 hours in advance — you will receive a one-time-use makeup token
Makeup tokens must be used by the end of the following month and only if you continue on the monthly plan
If you cancel your monthly plan or switch to Pay-As-You-Go, the token can still be used but only until the end of the next month
Tokens cannot be used for your usual weekly lesson time
Pay-As-You-Go Plan
You can purchase 1–8 Private or Semi-Private lessons, which are valid for 28 days from the date of purchase
Each lesson must be scheduled individually. You are not guaranteed the same day or time each week
Once you book a lesson, it cannot be refunded or cancelled unless you notify us at least 48 hours in advance
If you give at least 48 hours’ notice, you will receive a one-time-use makeup token that must be used within 7 days
Refunds are only available for unused and unbooked lessons, and only within 14 days of payment
Frequent cancellations or changes may result in losing access to preferred time slots
Payment & Refunds
Fixed Plan Bookings
Invoices are issued 7 days before the new month begins
Payment must be completed by 6:00 PM on the last working weekday
If unpaid, the lesson slot is automatically cancelled
Refund Summary
Fixed Monthly Plan: Refund is only available within 14 days of payment and only if no lessons have been attended or booked. Once the first of the month begins or a lesson is scheduled, no refunds are granted
Pay-As-You-Go: Refunds are only available for unused and unbooked lessons, and only within 14 days of payment
Group Lessons: No refunds are available under any plan once payment is made. Payment secures a fixed monthly place
All refunds are subject to a 25 PLN administrative processing fee
According to EU Law, your 14-day right to withdraw from a service expires once your first lesson is attended or your plan becomes active (whichever comes first)
Reschedules, Illness & Makeup Tokens
Makeup Tokens only apply to Private and Semi-Private lessons. Group lesson students are not eligible for any makeup or rescheduled lessons.
Private & Semi-Private Lessons
If you cancel with at least 48 hours’ notice, you may receive a makeup token
Tokens can only be used for a different day/time, not for your usual weekly slot
Tokens cannot be used to reschedule a lesson that was already paid for with a token
Each token is for one-time use and cannot be transferred to another student
Tokens expire automatically and are forfeited if you stop lessons at Ukiyo Swim School
Illness and Absence
Please notify us as early as possible if your child is unwell
If you inform us less than 2 hours before the lesson, it will be marked as a missed lesson and cannot be rescheduled or refunded
In cases of extended or repeated illness, we may request a doctor’s certificate to consider issuing a makeup token
Semi-Private Specific Rules
If one student is absent, the attending student receives a private lesson
The absent student may request a private makeup token at an extra cost, which will be added to their online portal
If both students are absent, they may request to reschedule together or separately, or the lesson will be forfeited
Group Lessons
Group lessons are booked monthly and cannot be cancelled or rescheduled for any reason, including illness
Attendance is expected each week, and makeup lessons are not provided
If a student misses 3 or more group lessons in a single month due to an unexpected illness that is confirmed by a doctor to require the student to refrain from swimming for an extended period, we may request a formal medical certificate before reviewing whether any adjustments can be made
This policy applies only to serious, documented cases and does not apply to occasional absences or general minor illnesses
Regular absence or a lack of communication may result in the student losing their group lesson spot
Instructor Availability
Instructors commit to a fixed monthly schedule
If an instructor is unavailable, a substitute will be arranged whenever possible
If no substitute can be found, a lesson credit will be applied
Pool access may still be used by the student during the scheduled time
Late Arrival
Students arriving more than 10 minutes late for a group lesson will not be allowed to enter the water
Students attending Private or Semi-Private lessons will be allowed to join the remaining time only
Lesson duration cannot be extended due to late arrival
