Ukiyo Swim School: Terms and Conditions

Introduction
These Terms and Conditions are set by Anthony Schulz Learn to Swim the Aussie Way, operating as Ukiyo Swim School, located at Ul. Szymanowskiego 4/44, 03-477 Warszawa, NIP: 113 294 5175. By enrolling in our swimming lessons, you agree to abide by these terms.

Pool Entry Procedure:
​
Check in at Wodny Park reception.
Obtain an entry wristband using the iClassPro app (student QR code) or your registered mobile number.
If needed, request access to the family changing room at reception.
Entry Ticket Inclusions:
​
30-minute and 45-minute lessons: Includes a 75-minute pool entry ticket.
15-minute trial lessons: Includes a 45-minute pool entry ticket.
Baby lessons: 75-minute ticket for 1 parent/guardian (additional family members require separate tickets).
Parents/guardians may use changing rooms for up to 20 minutes free of charge. Additional time incurs a fee of 0.60 PLN per minute.
Booking and Payment Policy

Private and Semi-Private Lessons:
Lessons are scheduled and booked on a monthly basis, securing permanent time slots for the entire year. Parents or students are required to report future absences for the following month before the 28th of the current month or use the "Future Absence" feature in the student portal.

Group Lessons:
Booked on a month-to-month basis, with full payment required upfront to secure your spot.

Payment Policy
Payment Due Date:
All secured private time slots and group places for the upcoming month are required on the Due Date as indicated on your payment portal.

Upfront Payment:
Payment upfront secures your time slot or group place and ensures our instructor’s commitment for the entire month.
Late Payments:
If payment is not received by the due date, your private lesson slots or group place may be forfeited and offered to another student.

Online Reservations:
Select day and time slot and then select "Book Now!". Next page is the dates you would like to secure.
Online reservations will be automatically approved once payment is made.

Securing Time Slots via Our Instructors:
If you are securing time slots through our instructors, they will automatically apply the appropriate fee to your payment portal, with a specified due date for payment.
Cancellation and Rescheduling Policy

Private Lessons:
​
Transfer Option: If you cannot attend but a friend or family member can take your place, notify us in advance. The substitute should ideally have an iClassPro account or use the QR code of the student who cannot attend for entry. This helps utilise the time slot effectively and provides continuity for our instructors.
​
24+ hours' notice: Cancel or reschedule without charge if done at least 24 hours before the lesson. Rescheduling must occur within one week or no later than the end of the following month. It is agreed the lesson fee is not a credit, and the lesson must be scheduled on an alternative day to the agreed secured time slot. If this is not possible, then the 24 to 4 hour notice policy will apply.

24 to 4 hours' notice: You’ll receive a 30% credit, valid until the end of the following month. No further rescheduling is allowed.
​
Less than 4 hours' notice or No Show: No credit or rescheduling is permitted.
​
Semi-Private Lessons:
​
Transfer Option: If one student cannot attend but a friend or family member can take their place, notify us in advance. The substitute should ideally have an iClassPro account or use the QR code of the student who cannot attend for entry. This helps utilize the time slot effectively and maintains continuity in lessons.

24+ hours' notice: One student cancels (non-sibling): When one student cancels with more than 24 hours' notice, the other student will continue with a private lesson, and the additional cost will be applied to their account. The student who canceled will receive a credit for the following month's payments.
​
24 to 4 hours' notice: One student cancels (non-sibling): If one student cancels between 24 and 4 hours before the lesson, the other student will attend as usual, and the canceling student will receive a 30% credit for the lesson.
​
One sibling cancels: If one sibling cancels, the lesson will be charged at the private lesson rate, regardless of notice. The canceling student will receive a credit valid until the end of the following month.
​
Both students cancel (24+ hours' notice): If both students cancel with more than 24 hours' notice, they must agree to reschedule the lesson together for an alternative date by the end of the following month. No credit will be issued.
Both students cancel (24 to 4 hours' notice): If both students cancel between 24 and 4 hours before the lesson, they will each receive a 30% credit. Rescheduling is not allowed.
Policy for Partially Paid Lessons:
Lessons partially paid with credit follow a strict policy: No cancellations or rescheduling permitted.

Group Lesson Cancellation Entitlement:
Each student is allowed 3 cancellations, which roll over to the next month if unused. Cancellations must be made at least 4 hours before the lesson to receive a credit.
Credits are applied to the next month's payment only.
After 3 cancellations have been used, the following month will have 0 cancellations allowed. The allowance resets the next month.
30-minute credit: 30 PLN per cancellation - Maximum 90 PLN credit to the following month
45-minute credit: 45 PLN per cancellation - Maximum 135 PLN credit to the following month
Medical Cancellations and Doctor's Certificate:

Health and Safety First: At Ukiyo Swim School, we prioritise the health and well-being of our students. In cases where a cancellation is necessary due to medical reasons, we fully respect the student's need to recover.
Doctor's Certificate: If cancellations (including extended or late cancellations) are requested for health reasons, Ukiyo Swim School reserves the right to request a doctor's certificate to validate the absence. This policy applies to private, semi-private, and group lessons. Upon receipt of the certificate, we may offer rescheduling or a credit for future lessons.
Refund Policy
Refunds are available only to Polish bank accounts. Credit card refunds may incur a transfer fee from the provider. Refund requests are processed at the discretion of our administration team on a case-by-case basis. Please forward your request and include your reason for the refund to enquiry@ukiyoswimschool.com.pl.

Updates to the Agreement
Ukiyo Swim School reserves the right to modify these terms. Any updates will be communicated via email or posted in the online portal. Your continued participation in our programs after these updates will indicate your acceptance of the revised terms.
